Feature Description

Easyecom now features QR code scanning on the GRN (Goods Receiving Note) page as well as in HHT. This new feature allows users to easily capture essential item details by scanning the QR code on their products. It eliminates the need for manual data entry, which reduces the risk of errors and significantly speeds up the GRN process.

Use Case

Scenario:

  • Challenge: A rapidly growing online retailer experiences frequent stock discrepancies. Manual data entry during the GRN process leads to errors, causing inaccurate inventory records. This results in:

    • Overstocking of certain items, tying up valuable warehouse space and capital.
    • Stockouts of popular products, leading to lost sales and frustrated customers.
    • Difficulty in fulfilling orders accurately and on time.

  • Solution: The retailer implements QR code scanning in Easyecom. Each product received has a unique QR code. Warehouse staff use the easyecom mobile app to scan each item upon arrival.

    • The scanned data automatically populates the GRN form with the correct product details, including SKU, quantity, and batch/serial numbers (if applicable).
    • The system integrates with the retailer's existing inventory management system, instantly updating stock levels.
    • Real-time alerts are triggered for low-stock items, enabling proactive reordering and preventing stockouts.

Required Settings for this feature to work

Settings to be done from the backend
  1. "QrEnabled":1
    This setting will allow the user to scan QR code on the GRN page. Please connect with the Easyecom Support team to enable the setting.
  2. GRN Screen Configuration should be enabled for the product category

In case the seller wishes to use this setting on his 3PL/Aggregator account, they need to get the above settings enabled in both the seller account and the 3PL/Aggregator account.

Workflow

Step 1: Create a Purchase Order.
To learn how to create a purchase order, click Creating Purchase Orders

Step 2: Click "GRN."



Step 3: Click "New GRN".


Step 4: Enter the supplier invoice number and the date of the GRN and click "Create GRN."


Step 5: Click "Add Item."


You will see an option to scan the QR code


At this point, you may generate a QR code based on the below-mentioned product details format.

Notes

When scanning items:

  • For SKUs: Enter the SKU code and specify its quantity.
  • For Units of Measure (UoM): Enter the quantity of items contained within a single case or inner pack. The system will automatically recognize this as the UoM and record it as 1 case or 1 inner pack."

Step 6: Once you scan the QR code, the details will be automatically populated in the "Add Item" section, and the details will be shown in the GRN.


The details will be shown on the screen. Click "Save" to move the inventory inward.



QR code scanning in HHT

Step 1: Go to your Android HHT and press "GRN."


Step 2: Select the Purchase Order


Step 3: Press "Go to GRN."


Step 4: Click the drop-down and press "Start adding items to this GRN."

                                      

Step 5: The Scan QR Code option will be available; you may scan the QR code and press "Validate."

                                         

Step 6: All the details will be shown; slide right to save the GRN
