Feature description

A stock transfer note is created to authorise the movement of inventory from one location to another different location. It is a crucial feature for optimizing inventory management, ensuring timely order fulfillment, and maintaining balanced stock levels across various storage locations.

Use Case

Scenario:

A large online retailer with multiple warehouses across the country is experiencing a surge in demand for a popular product in one of their regional warehouses. To avoid stockouts and ensure timely order fulfillment, the retailer needs to transfer a portion of the product's inventory from their main warehouse to the regional warehouse.

Steps Involved:

  1. Inventory Analysis: The retailer analyzes inventory levels at both warehouses to determine the optimal quantity of the product to transfer.
  2. STO Creation: The warehouse manager at the main warehouse creates a Stock Transfer Note (STO) specifying the product, quantity, source warehouse, and destination warehouse.
  3. STO Approval: The STO is reviewed and approved by relevant departments, such as inventory control and logistics.
  4. Picking and Packing: The product is picked from the designated storage location in the main warehouse and packed for shipment.
  5. Shipping: The packed product is shipped to the regional warehouse using the retailer's preferred shipping method.
  6. Receiving: The regional warehouse receives the shipment and updates their inventory records accordingly.
  7. STO Completion: Once the product is received and recorded, the STO is marked as completed in the system.

Workflow


Step 1: Go to the (+) icon and click "Create Bulk Order."



Step 2: Select "Stock Transfer Order."



Step 3: Choose the receiver's location.



Step 4: Fill in the order details and click "Create Order".



Step 5:  Go to Orders (main menu) > B2B Orders > View Orders.
Apply the Order Type filter and the location filter to search the STN order. Click "Submit".



Step 6: Scroll to the right and click "Create Picklist".



Step 7: If you wish to divide the picklist into multiple picklists, keep the box unchecked and choose the zone to divide the picklist as per the zone and click "Submit".



If you do not wish to divide the picklist, check the box and click "Submit".



Step 8: Once the details are submitted, the order will automatically get added to the batch.
Go to Order Batches B2B to view the batch. Click on the Action button at the right.



Step 9: Click "Print Picklist".



A picklist will be generated.



Step 10: Click on the "Batch ID".



Step 11: Scan the Picklist ID



Step 12:  Once the picklist ID is scanned, you will get the option to Create Box.



The box will be created and you will receive the Box ID with the barcode.



Step 13: Scan the Box ID then scan the SKU/EAN/SERIAL/UOM. 





Step 15: You may scan the items.



Step 16: Once all the quantities are scanned, all the items will be packed. Now, close the box. Closing the box is important so that the invoice can be generated.



Step 17: Enter the box ID again and click on Proceed.



Step 18: Mention the dimensions and close the box.



The packing slip will be generated.

Step 19: Go to Start Invoicing.


Start scanning the Box ID/IDs


Once, all the boxes in the order are scanned, click Generate Invoice.


OR

Step 19: Go to Manage Consignment and click on Create Consignment



Step 20: Select the order type as "Stock Transfer Order" and the Location’s Name, and click on Create.



Step 21:  Once the consignment is created, click on Action to start the invoicing.



Step 22: Scan the Box ID. Bulk invoicing allows users to scan multiple boxes and print the invoice in bulk.



Step 23: Click "Generate Invoice". 
















Step 24: Go to the Export Section to download the invoice.



Step 25: To create a Manifest for the B2B order,

Go to Orders (main menu) > B2B Orders > Manage Handover.

Click on Create Handover, and a handover batch will be created.


Step 26: Go to Action and click on Scan Boxes.


Step 27: Scan the box ID/box IDS.


Step 28: Once the package is added to the handover batch, add the shipping information and click "Generate Manifest".


Step 29: Go to the "Export Section" to download the manifest.

Upon shipment of the STN order from the source location, an auto PO will be generated at the receiving location.

Actions to be taken at the receiving location:

Step 1: Go to Inventory (main menu) > Purchase Orders.


Step 2: Choose the status as "Approved" and click "Submit".


Step 3: An auto PO has been created already.



Scroll to the right and click "View Details".



Step 4: Click "GRN".


You can now complete the GRN process for the same.
