Feature description

This new feature offers flexible control over how you track product freshness:
  • Set it for a whole category: If everything in a category expires around the same time, just set one "Days to Expire" value for that category.
  • Set it for individual products: For products with different days to expire, easily override the category default and set a custom "Days to Expire" value. The system then automatically calculates and displays the remaining days until each product expires, helping you optimize inventory, reduce waste, and ensure customer satisfaction.

Use Case

Scenario: An e-commerce business that specializes in selling vitamins, supplements, and protein powders. These products have varying shelf lives, typically ranging from 12 months to 36 months. Managing expiration dates is crucial for this business due to:

  • Regulations and Compliance: Selling expired supplements can lead to legal issues and damage the company's reputation.
  • Product Efficacy: Expired vitamins and supplements may lose their potency, leading to ineffective products and dissatisfied customers.
  • Inventory Control: Keeping track of expiration dates for a large variety of products with different shelf lives is a complex task.

How "Days to Expire" Helps:

  1. Category Defaults: The seller organizes products into categories like "Vitamins," "Protein Powders," and "Herbal Supplements." They set default "Days to Expire" values for each category based on the typical shelf life of the products within them. For example:
    • Vitamins: 730 days (approximately 24 months)
    • Protein Powders: 912 days (approximately 30 months)
  2. Individual Product Overrides: Certain products, like probiotics with a shorter shelf life, require special attention. The seller overrides the category default and sets a specific "Days to Expire" value for these individual items.
  3. Automated Tracking and Display: The system automatically calculates and displays the remaining days until expiry for each product in the inventory. This information is visible in the seller's inventory management dashboard.

Workflow

Step 1: Go to Masters (main menu) > Category Master



Step 2: Choose your category > Click "Action" > Change Expiry/ Manufacturing Date



Step 3: Enable the Inward Expiry Mode > Choose Manufacturing Date & Days to Expire > Set the "Days to Expire" for this category > Save the changes.



If LOT is configured for a particular category, you can update the "days to expire" by following the steps mentioned below:
Step 1: Go to Masters (main menu) > Category Master



Step 2: Choose your category > Click "Action" > Update Shelf Life



Step 3: Mention the Days to Expire for this category and save the changes.



This feature also allows you to set custom "Days to Expire" for individual products. To manually adjust the "Days to expire," follow these steps.

Step 1: Go to Masters (main menu) > Product Master



Step 2: Click on the SKU code for which you wish to set the "Days to Expire" manually.



Step 3: Mention the "Days to Expire" for the product



In the above image, the "Days to Expire" of the category is also mentioned.
Notes
Important Note-
  1. When updating a product, if the 'Days to Expire' field is left blank, the system will automatically apply the corresponding "Days to Expire" defined in the category
  2. If an individual product has a manually assigned "Days to Expire" value, this value will override the "Days to Expire" value given at the category level

Days to Expire: GRN through UI

Upon creation of a GRN, the relevant "Days to Expire" value (either from the product or category setting) will be displayed.

In cases where both the category and the product have a defined "days to expire" value, the system will prioritize the product's "days to expire" value.

Notes
Important Note-
  1. When generating GRN using sheet, the system does not automatically populate the "Days to Expire" value. Manual entry is required for each GRN.
  2. If a "Days to expire" value is already set at the category or product level, it will override any value entered in the sheet.
  3. If a "Days to expire" value is already set at the category or product level, the sheet column can be left blank.
