Overview

B2B order cancellation can be configured for individual Wholesale Customers from Customer Master using the following settings:

  • B2B Order Validity (days): Defines the validity period for the customer's B2B orders. If an order is not processed within the configured validity period, the system can cancel the order. If the order is partially processed, the remaining eligible quantity can be cancelled after the validity period.
  • Cancel qty if order partially fulfilled: When enabled, if part of an order is fulfilled and manifested, the remaining eligible unfulfilled quantity is cancelled.
These settings can be configured while creating a Wholesale Customer or by editing an existing Wholesale Customer.

Use Cases

  • Set an order validity period for a Wholesale Customer when pending B2B orders should not remain open beyond a defined number of days.
  • Automatically cancel the remaining eligible quantity when a B2B order is only partially processed and its validity period expires.
  • Automatically cancel the remaining eligible quantity after the fulfilled portion of a partially fulfilled order is manifested by enabling Cancel qty if order partially fulfilled.

Workflow

1. Configure the settings for an existing customer

A. Configure B2B Order Cancellation for an Existing Customer

  1. Go to Masters > Customer Master.
  2. Open the required Wholesale Customer and select the option to edit the customer details.
  3. Under the Customer Info section.
  4. Configure the required settings:
    • B2B Order Validity (days): Enter the required validity period. The value must be 30 days or less.
    • Cancel qty if order partially fulfilled: Enable this option if the remaining eligible quantity should be cancelled when an order is partially fulfilled and the fulfilled portion is manifested.
  5. Submit the changes.

B. Changing B2B Order Validity for an Existing Customer

When B2B Order Validity (days) is changed for an existing customer, the system displays a consent popup before applying the change.

The popup shows:

  • The number of existing orders that will immediately expire if the changed validity is applied to past orders.
  • The number of existing orders that will receive a future validity date.

You can select one of the following options:

Change validity for both past & future

Applies the changed validity to existing and future orders. To enable this option, select the acknowledgement checkbox in the consent popup.

The system identifies this as an irreversible change.

Change for future orders only

Applies the changed validity only to future orders.

Important: Review the number of orders that will immediately expire before applying the validity change to past orders.

2. Configure the Settings While Creating a Wholesale Customer

  1. Go to Masters > Customer Master and select the option to add a new Wholesale Customer.
  2. In Customer Info, configure the required settings:
    • Enter the required B2B Order Validity (days). The value must be 30 days or less.
    • Enable Cancel qty if order partially fulfilled, if required.
  3. Enter the remaining required customer details and submit the customer.

Cancellable

  • Yes: The order or suborder is eligible for cancellation.
  • No: The order or suborder is not eligible for cancellation.
  • Partial: Only the eligible portion can be cancelled. If another portion has already progressed to a non-cancellable stage, the system splits the order so that cancellation applies only to the eligible portion.
