EasyVMS (Video Management System)

Overview

EasyVMS records order packing and return processing in EasyEcom. Each recording is linked to the corresponding order, making it easy to retrieve whenever required.

The recordings help businesses review warehouse processing, verify how an order or return was handled, and provide recorded evidence while investigating customer or marketplace claims.

EasyVMS supports recording through Packing Station and Global VMS. Completed recordings can be reviewed from the VMS tab in the Order Details page or through the available VMS reports.

When to Use

Use EasyVMS when you need to maintain order-wise recordings of packing and return processing.

EasyVMS is commonly used to:

  • Review how an order was packed before dispatch.
  • Review how a returned shipment was processed at the warehouse.
  • Verify the products packed or received for an order.
  • Review packing or return recordings while investigating customer or marketplace claims.
  • Review previous warehouse processing for a specific order whenever required.

How EasyVMS Works

EasyVMS records packing and return processing and links every recording to the corresponding order.

Depending on the warehouse process, recordings are created in one of the following ways:
  • Packing Station – Recording starts automatically while processing an order or confirming a return.
  • Global VMS – Recording is started and stopped manually by the warehouse user.

Every completed recording is linked to the corresponding order and can be reviewed later from the Order Details page or through the available VMS reports.

Packing Station

When orders are processed through Packing Station, EasyVMS automatically records the supported warehouse processes listed below.

During Order Packing

  1. Recording starts automatically after the first successful product scan and continues until packing for the order is completed.
  2. If recording is stopped manually before packing is completed, another recording is created when scanning resumes for the same order.
  3. Each recording is saved separately.

During Return Confirmation

  1. Recording starts automatically after scanning the Reverse AWB.
  2. Recording continues while the return is being confirmed.
  3. Recording stops automatically after the return confirmation is completed.
Note: Recording starts during Return Confirmation. Initiating a return only creates the return request and Reverse AWB.

Global VMS

Global VMS allows warehouse users to start and stop recordings outside the Packing Station workflow.

Recording starts after scanning the corresponding Forward or Reverse AWB.

Recording stops when:

  • the same AWB is scanned again,
  • Stop Recording is selected, or
  • the maximum recording duration is reached.

Screenshots can be captured during recording and are available with the corresponding recording.


Review Recordings

Completed recordings remain linked to the corresponding order.

Open the required order and navigate to the VMS tab.

Each recording session is displayed separately.

Depending on the recording, users can:

  • Preview the recording.
  • Download the recording.
  • Copy the recording link.
  • Preview captured screenshots.
If multiple recordings exist for the same order, each recording is displayed separately.




VMS Reports

Apart from the Order Details page, recordings can also be reviewed through the available VMS reports.

  • VMS Report helps retrieve recordings across multiple orders.
  • VMS Claims Report helps retrieve completed return records together with their recordings and available screenshots.

Use these reports when recordings need to be reviewed across multiple orders.


Important

  1. Ensure the EasyVMS desktop application is running before starting warehouse processing.
  2. Recording starts automatically or manually depending on the recording method being used.
  3. Every recording is linked to the corresponding order.
  4. Each recording session is saved separately.
  5. Multiple recordings can exist for the same order.
  6. If you leave the page while recording is in progress, EasyVMS prompts you to stop the recording before leaving.
  7. For a single continuous recording, complete packing for the current order before scanning products from another order.

FAQs

1. Can one order have multiple recordings?
Yes. If recording is stopped manually and later resumed for the same order, multiple recordings may be available.
2. Where can recordings be viewed?
Recordings are available from the VMS tab in the corresponding Order Details page.
3. Can recordings be downloaded?
Yes. Recordings can be downloaded from the VMS tab.
4. Why is recording not starting?
Verify that the EasyVMS desktop application is running before starting warehouse processing.
5. Can recordings be reviewed for multiple orders?
Yes. Use the VMS Report or VMS Claims Report to review recordings across multiple orders.
