How to manage Dynamic Virtual Inventory in Easyecom

Feature description

The Dynamic Virtual Inventory feature allows you to push more inventory than you have in stock across different marketplaces. 

When an order is placed, the system automatically reduces the dynamic virtual inventory in EasyEcom and updates the same count on the marketplace (when the available quantity is 0). This feature is handy for sellers who anticipate restocking soon or need to manage fluctuating demand across multiple platforms.

Orders received for these dynamic virtual inventory items will remain in the failed order section until the Goods Receipt Note (GRN) is completed. Once the GRN is completed, the inventory will be successfully assigned to the orders.

By leveraging Dynamic Virtual Inventory, sellers can confidently accept orders, knowing they can source or produce the items before the SLA breaches. This flexibility helps maximize sales opportunities while minimizing the risk of overselling.

Dynamic Virtual Inventory
If you set a virtual inventory count of 10 for the Easyecom Master SKU-ABC, an additional 10 units will be pushed to both Amazon and Flipkart.
You can set individual inventory levels for each SKU. If SKU1 has a dynamic virtual inventory of 20 units and SKU2 has a dynamic virtual inventory of 10 units, an additional 20 units and 10 units will be pushed to Amazon & Flipkart respectively.
If an order for SKU 1 is received from Amazon, the virtual inventory will remain at 10.
If an order from Amazon has no physical stock for SKU1, the dynamic virtual inventory for SKU1 will be reduced to 19.

Use Case

Alisha is an inventory manager at ABC Pvt. Ltd., a company that manufactures and sells apparel to various marketplaces, each with its own SLA requirements. Alisha wants to sync extra inventory from Easyecom to marketplaces where SLAs can be met by the manufacturing units, considering their production limits. She needs the virtual inventory to dynamically decrease with received orders, accurately reflecting available stock even when physical inventory is zero. This ensures better order management and reduces the risk of overselling.

Required Settings for this feature to work

Settings accessible from UI

1.  Enable Dynamic Virtual Inventory - Enable or Disable

By enabling this setting, the dynamic virtual inventory will adjust with each received order.

Workflow

Step 1: Go to Inventory (main menu) (1) > Manage Listing (2) > Bulk Mapping (3) > Hamburger Menu (4) > Update Listing (5)



Step 2: Select the Marketplace (1) for which you wish to update the Dynamic Virtual Inventory and download the listing data (2).



Step 3:  Update the Dynamic Virtual Inventory count in the sheet for your SKUs.



The dynamic virtual inventory count is always a non-negative value, meaning it can be zero or a positive number.

Step 4:  To view the status of Dynamic Virtual Inventory, go to Inventory (main menu) (1) > Manage Inventory (2) > Hamburger Menu (3) > Inventory Update History Marketplaces (4).



As you can see in the above image, while the physical count for SKU- DRESS123 is currently zero, a dynamic virtual count of five units has been implemented. This means the marketplace will display an inventory count of five for SKU- DRESS123.

Step 5:  Select "Click here for Shopify, Amazon & Flipkart Report."



This report is also available for other marketplaces.

Step 6:  Select the date on which Dynamic Virtual Inventory was added (1) > Select the Marketplace (2> Select the API status as ALL (3) > Mention the SKU code (4) > Click on Run Report (5).

SKU: Dress123
Inventory Status:
  1. Physical Inventory: 0 units
  2. Dynamic Virtual Inventory: 10 units

You will be able to see the
dynamic virtual inventory count for the SKU- DRESS123 as 10




Scenario 1

SKU: Dress123
Inventory Status:
  1. Physical Inventory: 0 units
  2. Dynamic Virtual Inventory: 10 units
  3. Marketplace Pushed Inventory: 10 units
Due to the implementation of dynamic virtual inventory, the seller has received an order for 2 units of Dress123, as shown in the image.


Go to the "Notes" section



The Notes section of this order will display that "This sub-order '.Order-111.' is received because of the listing's dynamic virtual inventory" indicating that the order was received due to the existence of a dynamic virtual inventory for this SKU.

Once the physical stock of Dress123 becomes available to the seller, the order can be fulfilled.




Scenario 2

SKU: Coffee-Mug
Inventory Status:
  1. Physical Inventory: 10 units
  2. Dynamic Virtual Inventory: 5 units
  3. Virtual Inventory5 units
  4. Marketplace Pushed Inventory: 20 units
Due to the combined inventory count of 20 units (10 physical + 5 dynamic virtual + 5 virtual inventory), the seller has received an order for 12 units of the SKU COFFEE-MUG, as shown in the image.



Go to the "Notes" section



The Notes section of this order will display that "This sub-order '.Order-222.' is received because of the listing's dynamic virtual inventory" indicating that the order was received due to the existence of some of the dynamic virtual inventory for this SKU.

Once the physical stock for the total quantity of the 12 ordered COFFEE-MUG units becomes available, the seller will be able to fulfill the order.




Notes:
  1. The virtual inventory will be deducted or will be dynamic at the listing level only.
  2. The virtual inventory set at the master SKU level on the "manage inventory" page will be static.
  3. For combo products, the dynamic virtual inventory will only be displayed for the parent SKU, not for the individual child SKUs.
  4. If a product has a physical inventory count, a virtual inventory count, and a dynamic virtual inventory count, the total of these three numbers will typically be pushed to the marketplace as the available inventory.
  5. If the setting "Enable Dynamic Virtual Inventory " is disabled, the dynamic virtual inventory count will not be deducted against the order.
